Privacy Policy

We're serious about protecting your personal info

Last Updated: October 24, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But here's the deal: at Jandrix Citadel Fitness, we're not gonna play games with your personal data. This document breaks down exactly what info we collect, why we need it, and how we keep it secure.

We operate outta Vancouver, BC, so we follow Canadian privacy laws including PIPEDA. If you've got questions or concerns, just shoot us an email at info@jandrixcitadel.info and we'll get back to you straight away.

When you sign up or interact with us, we're gonna need some basic stuff to run the gym properly:

  • Personal Details: Your name, email, phone number, address - the usual stuff you'd expect when joining any gym
  • Payment Info: Credit card details, billing address, transaction history (we use encrypted payment processors, don't worry)
  • Health & Fitness Data: Any medical conditions or injuries you tell us about, your fitness goals, training progress - this helps us keep you safe during workouts
  • Membership Records: What package you're on, when you check in, which classes you've booked
  • Communications: Emails, texts, or messages you send us through our contact forms

We only collect what we actually need to provide you with top-notch training and keep the facility running smoothly. We're not out here asking for random info just because.

Here's what we do with the data you give us:

  • Running Your Membership: Processing payments, managing your account, giving you access to facilities and classes
  • Personalized Training: Our coaches use your health info and goals to design programs that actually work for YOU, not some cookie-cutter template
  • Safety First: Knowing about injuries or conditions helps us modify exercises and prevent accidents
  • Staying in Touch: Sending you class schedules, gym updates, maintenance notices - the stuff you actually wanna know about
  • Improving Services: Analyzing attendance patterns and feedback to make better programming decisions
  • Marketing: Occasional emails about new programs or special offers (you can opt out anytime - we won't take it personally)

Bottom line: we use your info to give you the best training experience possible and keep the gym running like a well-oiled machine.

Yeah, we use cookies - but not the delicious kind (though we wish). Here's the breakdown:

  • Essential Cookies: These keep the website functioning - like remembering you're logged in so you don't have to sign in every single page
  • Analytics Cookies: Help us understand which pages people visit most, how long they stick around, what devices they're using - this helps us make the site better
  • Preference Cookies: Remember your settings and choices so the site works how you like it

Most browsers let you control cookies through settings. Just know that blocking some cookies might make parts of the site not work as smoothly.

We also collect standard web stuff like IP addresses, browser types, and how you navigate the site - pretty much what every website does these days.

We're not in the business of selling your personal info to random companies. That said, we do share limited data with:

  • Payment Processors: Secure third-party services that handle credit card transactions (they're PCI compliant and everything)
  • Email Services: Platforms we use to send newsletters and updates - they only get your email and name
  • Booking Systems: Software that manages class schedules and reservations
  • Legal Requirements: If we're legally obligated to (like court orders or government requests), though this is super rare
  • Emergency Situations: Medical professionals if there's an injury or health emergency at the gym

All our third-party partners are required to keep your data secure and can't use it for their own purposes. We've got agreements in place to make sure of that.

Security's not just about locking the gym doors at night - we take digital security seriously too:

  • Encryption: All sensitive data's encrypted both when it's stored and when it's being transmitted
  • Secure Servers: Our data lives on protected servers with regular security updates and monitoring
  • Limited Access: Only staff who actually need access to your info can see it - not everyone at the gym can peek at your details
  • Regular Backups: We back everything up regularly so your membership info doesn't disappear if something goes wrong
  • Staff Training: Our team knows how to handle personal data properly and what not to do with it

Look, no system's 100% hack-proof (anyone who tells you otherwise is lying), but we're doing everything reasonably possible to keep your info locked down tight.

We don't hang onto your info forever - that'd be weird and unnecessary. Here's our retention approach:

  • Active Members: We keep your data for as long as you're a member (obviously)
  • Former Members: After you cancel, we'll keep basic records for about 7 years for accounting and legal purposes (tax laws and all that fun stuff)
  • Marketing Lists: If you unsubscribe from emails, we'll remove you from marketing but might keep a record that you opted out (so we don't accidentally re-add you)
  • Health Records: Medical info and injury reports are kept for longer periods as required by law and for liability protection

Once we don't need your data anymore, we securely delete or anonymize it. No point keeping stuff around just to collect digital dust.

It's YOUR data, so you've got rights. Here's what you can do:

  • Access Your Info: You can request a copy of what personal data we've got on file for you
  • Correct Mistakes: If something's wrong or outdated, let us know and we'll fix it
  • Delete Your Data: Request deletion once you're no longer a member (though we might need to keep some records for legal reasons)
  • Opt Out of Marketing: Unsubscribe from promotional emails anytime - there's a link at the bottom of every marketing email we send
  • Restrict Processing: Ask us to limit how we use your data in certain situations
  • Data Portability: Get your data in a format you can take elsewhere if you want

To exercise any of these rights, just email us at info@jandrixcitadel.info or call (604) 555-2847. We'll respond within 30 days.

If you're not happy with how we've handled your privacy concerns, you can file a complaint with the Office of the Privacy Commissioner of Canada.

Our services are aimed at adults 18 and older. If you're under 18, you'll need a parent or guardian's consent to join and train with us.

For minors who do train at our facility, we collect the same basic info but require parental approval for membership agreements and health forms. Parents can access, modify, or request deletion of their kid's information anytime by contacting us.

We might update this privacy policy from time to time - new laws, new services, new tech, you know how it goes.

When we make changes, we'll update the "Last Updated" date at the top and let you know through email or a notice on the website. If the changes are major, we'll give you more prominent heads up.

Continuing to use our services after changes means you're cool with the updated policy. If you're NOT cool with it, you can always cancel your membership (though we'd hate to see you go).
